Terms of Service

These terms set out how your dental office uses and pays for our AI receptionist service. Review the trial, cancellation and call handling responsibilities before starting your account online.

Operator and Scope of Service

TypeScience, trading as Dental AI Receptionist HQ, provides the website and AI receptionist service described in these terms. The service handles front-desk calls for dental offices using the business information and instructions supplied by the customer. In these terms, we means the operator and you means the business using the service.

The service answers as your business after you forward calls to it. Its work includes taking messages, asking intake questions, routing urgent calls and booking appointments into Google Calendar when you choose that option. It can instead collect details for your office to call back.

Online Signup and Onboarding

You start the service online using an email sign-in link and an onboarding conversation with the AI. The onboarding answers and the business website you identify supply your receptionist's knowledge. Provide accurate information about your services, hours, price policy and the people who should receive urgent calls.

You choose whether to forward all calls or only calls that are unanswered, busy or outside office hours. We provide a forwarding guide for your carrier or phone system and a test call before you go live. A card is required before call forwarding goes live.

Trial Terms

The free trial lasts 14 days and is capped at 100 minutes. The trial converts to a paid subscription only with a card on file. We send a reminder email two days before conversion so you can review whether to continue.

You can try the browser demo without signing up while you wait for trials to open. Demo calls and chats are recorded and transcribed to show their results. Use fictional patient details in that setting, and review the service's published status before using protected health information.

Subscription Price and Usage

The subscription is $399 per month and includes 500 AI minutes. Additional minutes cost $0.20 per minute, and overage minutes are billed monthly. These are the plan's usage and billing terms; review your usage in the dashboard as your office begins forwarding calls.

Subscriptions run month to month and renew monthly until canceled online. Billing is handled through our payment processor, and we do not store full card numbers. For help understanding your account or billing, contact [email protected].

Cancellation and a Lapsed Plan

You can cancel online in one click, with cancellation taking effect at the end of the paid month. Canceling stops the subscription's monthly renewal according to that timing. Your office should keep its backup contact route current as part of managing its phone setup.

If a plan lapses, calls go to your backup number or voicemail. Keep a backup way for callers and urgent contacts to reach your office. Account closure also affects stored transcripts and summaries under the deletion schedule in these terms.

Your Business Instructions

You are responsible for your greeting, business policies and the accuracy of the information you give the AI. That includes what services your office offers, which questions should be taken as messages and who receives urgent calls. Review those instructions when your hours, services or on-call arrangements change.

You can update settings by giving the AI instructions in plain words. Your control over the greeting does not include removing the virtual-assistant disclosure or recording notice. Both notices are included at the start of each call and remain part of the service.

Reviewing Calls and Following Up

You are responsible for reviewing call summaries and keeping a backup way to be reached. The AI can make mistakes, so your team must review the information it relies on for callbacks and office decisions. A summary or urgency tag is a record for your team, not a clinical judgment.

Call alerts are delivered by email and app push notification and include a summary, urgency tag, transcript and recording. We also send a daily digest email. Use the dashboard to review calls, recordings, transcripts, usage and settings as part of your office's message handling process.

Urgent Routing and Clinical Limits

Urgent calls follow the order you set for a warm transfer to your on-call person or a page to them. In a warm transfer, the on-call person hears a short summary and presses 1 to accept. Your office supplies the urgent contact details and routing instructions.

The receptionist does not diagnose, provide dental or medical treatment advice, or make triage decisions. Clinical calls belong with the on-call clinician. Insurance and benefits questions are noted for your team; the receptionist does not verify coverage or quote what insurance pays.

Emergencies and Crisis Calls

The service is not an emergency service or a replacement for 911. Medical emergencies are directed to 911, and crisis calls are directed to 988. Your office's routing instructions must preserve those safety boundaries.

For facial swelling with trouble breathing or swallowing, the caller is told to go to the ER or call 911 now, and the office is then alerted. The AI does not decide a diagnosis or recommend treatment. Your team remains responsible for clinical follow-up through its clinician.

Optional Chat and Follow-Up Calls

Website chat is an optional add-on that uses the same business knowledge and rules as your receptionist. The follow-up calling add-on is limited to people who submit your web form and tick a consent box naming your business. You are responsible for retaining the consent records for those calls.

Follow-up calls are made within about a minute, during the period from 8 a.m. to 8 p.m. in the recipient's local time. The service makes one attempt plus one retry and honors opt-outs at once. It does not offer cold calls, list dialing or calls to purchased leads.

Acceptable Use and Suspension

You must not use the service for illegal activity, cold calling, robocalling, impersonation or harassment. Do not direct the receptionist to misrepresent its role or remove its required disclosures. Your business instructions and any optional follow-up activity must stay within the service boundaries described here.

We may suspend the service for abuse. Keep a backup route for your business calls so your office has another way to receive messages. Questions about permitted use or account help can be sent to [email protected].

Caller Data Processing Terms

Your business decides what caller information is collected and why, and we process that information on your behalf. These data processing terms form part of the terms of service. Processing includes call audio, recordings, transcripts, summaries and caller numbers used to deliver call handling and the resulting records to your office.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

We use service providers in categories including hosting and storage, telephone carriers, voice and text AI, payment processing, email delivery and analytics. Our AI model provider, OpenAI, does not use our API data for model training by default. We do not sell personal information or use caller information for our own marketing.

Retention and Information Requests

Your office chooses a recording retention period of 30 or 90 days, after which recordings are deleted. Transcripts and summaries are retained while the account remains open and deleted within 30 days after closure or on request. Review your chosen period against how your office uses call records.

Access, correction, deletion and opt-out requests go to [email protected]. Callers can direct requests to your business or to us. The privacy policy for account and caller information also describes onboarding data, demo conversations and website analytics, including Google Analytics cookies.

Protected Health Information

Use with protected health information is governed by the pending status (no business associate agreement is in place). Until that status is set, you must not use the service with protected health information. Review the published status before deciding what information your office will provide or collect through the service.

Use made-up patients and fictional circumstances when evaluating the browser demo. Hearing the receptionist handle a sample conversation does not change the restrictions on protected health information. The service remains limited to front-desk handling, messages and routing rather than clinical care.

Service Basis and Liability Limit

The service is provided as is, and the AI can make mistakes. Your office must review summaries, maintain accurate business instructions and keep a backup way to be reached. Do not use the receptionist's output as a substitute for your team's clinical decisions.

Our liability is capped at the fees you paid in the prior 12 months. The cap uses fees paid, rather than projected subscription charges or expected future usage. Your subscription responsibilities and the service limits described in these terms apply when using the receptionist for your office.

Governing Law, Changes and Contact

These terms are governed by the law of California. We notify you of changes to the terms by email. The last updated date on this page identifies the version presented here.

Contact [email protected] for service and account help, or [email protected] for privacy requests. There is no phone sales line; signup and onboarding take place online. When you have reviewed these terms, you can request a free trial; we email your sign-in link when your trial is ready so you can provide your office's instructions through the onboarding chat.
